For companies with up to around 20 employees, a typical implementation period is approximately two to three months from the initial discussion to full operation.
The time required for payroll implementation is not the same for every company.

On the other hand, when transitioning from an existing payroll provider, it is important to review previous payroll data and the current calculation methods and allow sufficient time for a proper handover.
We believe that the objective should not simply be to start the service as quickly as possible, but to ensure that everything is properly prepared so that the first payroll can be processed accurately and smoothly.
The Basic Payroll Implementation Process
When starting a new payroll service, we first discuss your company’s situation, requirements, and the scope of services that we will provide.
We then ask you to provide the information required for payroll processing, such as company and employee information, base salaries, allowances, deductions, social insurance and tax information, and attendance or working-time data where applicable.
Based on the information provided, we review the payroll structure and calculation methods. If anything is unclear or requires further confirmation, we discuss these points with your team before proceeding.
Once the necessary information has been reviewed and confirmed, we proceed with the first payroll calculation.

Small Companies May Be Able to Start Within the Same Month
For a small Japan operation with five or fewer employees, a relatively simple payroll structure, and all the necessary information readily available, it may sometimes be possible to start payroll processing within the same month as the initial discussion.
For example, a newly established company in Japan may have hired its first few employees and need to arrange payroll within a relatively short period.
In such cases, after confirming the company’s situation and the required scope of services, we can work toward implementation in line with the company’s actual payroll schedule where possible.
Even when implementation needs to be completed quickly, however, it is still essential to confirm the employment terms, social insurance and tax information, and other data required to calculate payroll accurately.
When Transitioning from an Existing Payroll Provider
Changing payroll providers requires the accurate transfer of not only employee information but also previous payroll results, tax and social insurance information, resident tax data, payroll items, and other relevant information.
Where possible, we recommend conducting a one-month parallel payroll run before fully transitioning to the new payroll service.
During a parallel run, the existing provider and the new provider calculate the same month’s payroll independently. The results can then be compared to identify any differences in payroll settings, calculation methods, deductions, or other items before the new service goes live.
Including this transition period, for a company with up to around 20 employees, we would generally expect the process from the initial discussion to full implementation to take approximately two to three months.
